Kids party planning checklist

Need some help when it comes to planning your kids birthday parties? Make your child’s next birthday party as stress-free as possible with our easy step-by-step Party Planning Checklist.
Make your child’s next birthday party as stress-free as possible with our kids party planning checklist.

By planning 4-6 weeks ahead of your child’s birthday it allows you to pull the party together at a leisurely pace, gives you enough time to reserve party venues and party entertainment, and ensures you'll get the invitations out well ahead of the party.

However if you have less time, you can still speed through the list and tick things off as you go.

Kids party planning checklist

4 - 6 weeks before the party

1. Decide on a party theme for the party. Kids often have their own ideas.

2. Make a guest list.

3. Decide on a date, time and the location for your party.

4. Place your orders for party supplies, decorations, table and chair hire.

5. Book a party venue if required.

6. Book your party entertainment or party hire supplies and equipment if required.

2 - 3 weeks before the party

1. Send your invitations with an RSVP date so you’ll have an idea of the number of guests to expect on the day.

2. Plan party activities, party food and party games.

3. Order your birthday cake or buy the ingredients to make your own.

4. Now is a good time to ask for help on the party day from your friends and/or relatives.

1 week before the party

1. Follow up with guests that have not RSVP’d.

2. Make sure your camera is in working order and get the batteries on charge. It's a good idea to have some spares.

3. Prepare foods that can be made ahead of time including the birthday cake if you’re making your own.

4. Check your party supplies to make sure you have everything you will need.

The day before the party

1. Remove previously prepared food from the freezer to defrost.

2. Decorate the party venue or room as much as possible.

3. Buy all those last minute items.

Party day

1. Complete all food and drinks preparations.

2. Finish decorating the party venue and party table.

3. Make sure you or friend/relative takes lots of birthday party photos.

4. Have fun and enjoy creating lots of memories.

Don’t have 4 - 6 weeks to plan?

If you’re running out of time you can still pull together a party in 2 weeks.

Just make sure you get the invitations out right away or call your guest list. Then use the details in the checklist above to ensure you have everything covered.

Less than 2 weeks is pretty stressful and you risk guests not being able to attend because they've already made plans.
